There is a new Guest List Manager on WeddingChannel.com! And the best part is that it’s so much easier to use. If you’re currently using our old tool, follow the below tips to find out how to transition over! If you just have questions about the new Guest List Manager, see below.

Q: “What happened to my old Guest List Manager?”

You'll notice that we upgraded our Guest List Manager tool at the request of users like you. We hope you enjoy using the exciting new features we’ve added! However, if you had saved any information in this version of the Guest List Manager, you will need to print the lists or use the export tool to save them to your computer. While we are keeping this version available to our users for a limited time, check your email for when we will be removing it altogether. Save your data before then!

Q: “What if I decide not to use the new Guest List Manager?”

If you decide to not switch over to the new Guest List Manager, you will be missing out on the additional new features and ability to have Guest List Manager and Wedding Websites work together. With the new Guest List Manager and new Wedding Web Sites, you will be able to send Save-the-Dates and keep track of all RSVPs as your guests respond online.

We are keeping all your data intact in the old Guest List Manager for the time being, but it won’t be around indefinitely. Print and save your data while you can, since we will be taking this tool offline in August 2010. Read on if you need help saving, or contact Customer Service at customerservice@weddingchannel.com and we will gladly walk you through the steps.

Q: “How do I print my guest list?”

On each view of the Guest List Manager (except Add Guests), we have provided printer-friendly versions of the information shown on the page. On some tabs, you can select from several different print options.

Under the Seating Manager tab, you have two choices in the "Select Print Option" dropdown:

Option #1: "Seating Manager" -- Prints a list of your tables with occupants' names and meal choices so you can give the list to your caterer.

Option #2: "Place Cards" -- Prints a list of your place card names with table numbers so you can give the list to your calligrapher.

Under the Address Book tab, you have four choices in the "Select Print Option" dropdown:

Option #1: "Address Book" -- Prints all the information saved in your Address Book.

Option #2: "Mailing List" -- Prints all guest names and addresses so you can give them to your calligrapher.

Option #3: "Inner/Outer Envelopes" -- Prints a list of guest names exactly as you want them to appear on your inner and outer envelopes, grouped by party. This list is helpful for your calligrapher.

Option #4: "Place Cards" -- prints a list of your place cards names with table names so you can give it to your calligrapher.

Q: “How do I export my guest list information?”

All the tabs of the Guest List Manager are available for export. Just click "export" in the toolbar at the top of each page and follow the step-by-step instructions. Once you’ve exported all your information, visit the import page on the new Guest List Manager to see how to format the file to upload your data.

Q: “I want to save my information in the old Guest List. How do I do this?”

Q: “I want to import my information in the old Guest List Manager into the new Guest List Manager. Can I do this?”

You can, but there’s some work involved. After exporting and saving your information to your computer, visit the Import page on the new Guest List Manager. There is a sample template that you can download with information on what the import file needs to look like. After modifying your saved file to match that template, you can import your information using the import tool.

Q: “Where are my A/B lists?”

The A|B list buttons are now located on the “Responses” tab, where you can view the counts before the invitations are sent out, and after the responses start coming in. You can switch back and forth between Personal Info (where your addresses are stored), Invitations (where your envelope information is stored), and Responses (where your A|B counts and RSVPs are stored).

Q: “How do I print my guest list?”

If you go to the Print and Export page by following one of the links in the upper right corner, you will see all the summary counts at the top and various versions of the guest list on the bottom of the page. You can print the summary counts directly. To print a guest list, please select the type of list you are looking for, and first save it to your computer. You can print it from Excel or any other spreadsheet program.

Q: “How do I delete a guest list?”

When you click on the “trash can” icon at the upper right corner, the guest list should display a message in a popup box reading: “This will remove all invitations, responses, and gifts for this list! Are you sure?” The delete happens after you select “Yes.” If that is not happening, it might be a browser issue. If you aren’t seeing the prompt, then you may have difficulties seeing some of the overlay windows on the tool.

Q: “How do I edit my envelope information on the invitations?”

There are two ways: From the tool’s main page, click on the party name whose envelope info you want to change. When the new window opens, click on “Invitations” tab at the top, and then click on Edit. This will let you edit the name field that appears for the envelope.

The other way is to go to the “Invitations” page first, and then click on the party name whose envelope info you want to change. Clicking on edit will let you edit the envelope info.

Q: “Where are my totals? Total invitations, total invited, total coming?”

We do still display total counts of acceptances, invitations, etc. In fact, we display them in two different places: Responses and Print. The Responses tab within a guest list mimics the old Guest List's List/RSVP view. At the bottom, just like in the old one, there are the totals for invitations, accepted, and A/B. Clicking on Print/Export link from anywhere on the tool will take you to the summary pages with all the possible counts.
